Public Mail 2 Contact for Outlook® (version 1.2*)
Public Mail 2 Contact is an addon for Microsoft® Outlook. It generates Outlook contacts from existing e-mails and verifies whether the e-mail-address does already exist as contact of Outlook.

Adequate filters prevent Public Mail 2 Contact from creating doubles in Outlook during conversion. The usage of individual blacklist filters permits to exclude specific e-mail-addresses, domains or suffixes. This helps to avoid the continuous visualization of the same domains or e-mail addresses during conversion.

Public Mail 2 Contact is compatible with all versions of Outlook, Public ShareFolder or Microsoft Exchange Server. Especially users of Outlook, Public ShareFolder and Exchange wanting to convert data from multiple e-mail folders can select complete folders with subfolders.

All the e-mail addresses imported from Outlook can be sorted according to different criteria through the use of a special editor. The sorting criteria may be the e-mail-addresses, the domain, the names, number of e-mails or the suffix. In this way you see which contact has sent most e-mails, from which domain or company most e-mails come in, or you may group the contacts according to countries, because the suffix (.de, .at, .co.uk etc.) may also be used as a sorting criterion of this Outlook addon, BEFORE converting the contacts to Outlook.

Public Mail 2 Contact is a very useful Outlook addon for the preparation of newsletters and for a statistical analysis of e-mail traffic. Many contacts are lost because it is difficult to import contact data from e-mails to Outlook efficiently. Who knows exactly which contact has sent how many e-mails and thus consumed the biggest amount of time? This Outlook addon is inspired by daily experience: It helps you to transfer the e-mail addresses from thousands of e-mails most efficiently to Outlook?

How does Public Mail 2 Contact work?


Each e-mail in Outlook has the same structure and contains the following data:
  • E-mail-address according to the format: "name@domain.suffix"
  • Name shown: e.g. John Doe
  • Type of e-mail-: e.g. SMTP
Public Mail 2 Contact reads the following data from the e-mail, separates it in single segments and exports them to an editor fort he purpose of sorting.

Number:

Number of mails with this address
E-Mail adress: The sender address from which this mail was sent
name: Shown name
X@x.x: address segment before the "@" character
x@X.x: address segment after the "@" character = domain
x@x.X: address segment after the "dot" character=Suffix (de, com, etc.)
date: The day in which the mail was received


The program shows all usable Outlook profiles as well as the folder structure of these installed profiles. It is possible to activate each folder in every Outlook PST file, since theoretically each folder and subfolder could contain E-Mails.

* New in the version 1.2:

  • Since the version 1.2 you can only select e-mail folders (except for special e-mail folders like Outbox, Drafts, Junk E-mail, Sent Items, Deleted Items).
  • For the "grey" marked entries (name of the Outlook profiles) the context menu is no more available.
